In relation to the information that SIM may collect and in order to ensure the protection of the personal data of all data subjects under its privacy policy, we hereby inform you as follows:
Purpose of the processing
In accordance with our privacy policy, the personal data you provide shall be used to deliver the services requested, for accounting purposes, to comply with legal obligations, to rate your satisfaction with our services, to send you information necessary for the performance of services or advertising material, and to exercise the right to legal defence.
Processing methods
The methods of processing personal data include the use of secure physical and digital systems. SIM employs personnel adequately trained in personal data protection and carefully selected to ensure proficiency in the required language, technical skills, availability, and the ability to fulfil any further professional conditions necessary for the proper execution of the services.
Provision of data
If you request translation or word processing services, please take care to encrypt or otherwise conceal any personal data of third parties included. Should this not be possible and you wish to prevent SIM’s European and non-European staff from seeing such data, when ordering the service, please highlight them in the text and instruct SIM in writing to keep them hidden during translation and processing, acknowledging that these operations involve extra costs and time for SIM.
Data disclosure and dissemination
The data provided may be disclosed to professionals or specialist companies, such as legal consultants, accountants, or translation companies—which will be bound by compliance with SIM’s regulations on data security and the provisions of the GDPR—as well as to bodies and authorities to whom we may be legally obliged to disclose them. SIM delivers quality multilingual services by employing native speakers in EU and non-EU countries under a contractual obligation to protect data at an appropriate level comparable to that provided for by the GDPR.
Data retention
Personal data shall be stored indefinitely, using technologically secure systems, in compliance with the regulations on data retention (for example, tax returns) and to exercise the right to legal defence in the event of litigation.
In order to improve the quality of the service and as a safeguard in the event of litigation, SIM stores texts, translations, and data indefinitely, protecting them in special electronic encrypted storage systems. As data subjects, customers have the right to request that their personal data be deleted at any time.
